Auto Responders
Send automatic confirmation emails to form submitters
Auto-responders automatically send a confirmation email to users who submit your form. This provides immediate feedback, confirms receipt of their submission, and sets expectations for follow-up. Auto-responders are available for Pro tier users.
Pro Feature
Auto-responders are available on the Pro plan. Upgrade to Pro to unlock this feature.
Setting Up Auto Responders
Configure auto-responders in your Static Forms dashboard:
Enable Auto Responder
Toggle the "Enable Auto-Responder" switch to activate automatic confirmation emails.
Configure Email Template
Customize the email subject and message body. You can use template variables to personalize the email with form data.
Save Settings
Click "Save" to apply your auto-responder configuration. The next form submission will trigger an auto-responder email.
Email Field Requirement
For auto-responders to work, your form must include an email field. The email address from this field will be used to send the confirmation email:
Important
If your form doesn't include an email field, auto-responder emails cannot be sent. Make sure at least one field in your form is named email and contains a valid email address.
Template Variables
You can personalize auto-responder emails using template variables. These variables are replaced with actual form data when the email is sent:
| Variable | Description | Example |
|---|---|---|
| {{name}} | Value from the "name" field | John Doe |
| {{email}} | Value from the "email" field | john@example.com |
| {{message}} | Value from the "message" field | Hello, I'm interested... |
| {{fieldname}} | Any form field name | Use any field name from your form |

Best Practices
Set Clear Expectations
Let users know when they can expect a response. For example: "We'll respond within 24-48 hours."
Personalize the Message
Use template variables like {{name}} to make the email feel personal and professional.
Keep It Concise
Auto-responder emails should be brief and to the point. Save detailed information for your actual response.
Include Contact Information
Provide alternative contact methods or support channels in case users need immediate assistance.
Testing Auto Responders
To test your auto-responder configuration:
Submit a Test Form
Fill out and submit your form with a valid email address.
Check Email Inbox
Check the email inbox associated with the email field in your form. You should receive the auto-responder email within seconds.
Verify Template Variables
Confirm that template variables are replaced with actual form data (e.g., {{name}} shows the actual name).
Troubleshooting
Auto-Responder Not Sending
- Verify auto-responder is enabled in dashboard settings
- Check that your form includes an email field
- Ensure the email field contains a valid email address
- Check spam/junk folder for the confirmation email
- Verify you have a Pro tier account
Template Variables Not Working
- Verify field names match exactly (case-sensitive)
- Check that the field exists in your form
- Ensure the field has a value in the submission
- Use double curly braces:
{{fieldname}}
Auto-Responder vs Notification Email
It's important to understand the difference:
Notification Email

- Contains all form submission data
- Available on all tiers
- Purpose: Notify you of new submissions
Auto-Responder
- Sent to the form submitter
- Customizable confirmation message
- Pro tier only
- Purpose: Confirm receipt to the user
